Job Summary

The Senior Event Planner is responsible for overseeing the planning, coordination, and execution of events hosted at the venue. This role serves as a lead planner, managing complex and high-profile events while acting as a key liaison between clients, internal departments, and external vendors. The Senior Event Planner also supports team development, ensures operational excellence, and upholds the venue’s service and brand standards.

 

Key Responsibilities

Event Planning & Execution

  • Manage all phases of event planning from initial inquiry through post-event follow-up
  • Lead planning for large-scale, high-revenue, and complex events
  • Develop detailed event timelines, floor plans, BEOs, Run of Shows and Catering Proposals
  • Conduct client site visits, planning meetings, and final walk-throughs
  • Oversee on-site event execution to ensure flawless delivery and guest satisfaction

Client & Vendor Management

  • Serve as primary point of contact for assigned clients
  • Build strong client relationships and provide expert guidance throughout the planning process
  • Coordinate with vendors including catering, multimedia, décor, rentals, and entertainment
  • Negotiate vendor needs within venue guidelines and budgets

Team Leadership & Collaboration

  • Act as a mentor and resource for junior planners and coordinators
  • Assist with training, onboarding, and best-practice development
  • Collaborate with operations, culinary, and facilities teams to ensure alignment
  • Provide on-site leadership during events and assist with staffing oversight

Operational & Financial Oversight

  • Ensure events comply with venue policies, safety regulations, and local codes
  • Monitor event budgets and final billing
  • Identify opportunities for upselling and enhancing the guest experience
  • Participate in process improvement and workflow optimization

 

Qualifications

  • 5+ years of event planning experience, preferably in a venue, hotel, or hospitality environment
  • Proven experience managing complex events and multiple priorities simultaneously
  • Strong leadership, communication, and organizational skills
  • High attention to detail with a proactive, solution-oriented mindset
  • Proficiency in event management software, CRM systems, and Microsoft Office
  • Ability to work evenings, weekends, and holidays as required by event schedules

 

 

Preferred Qualifications

  • Bachelor’s degree in Hospitality, Event Management, or related field
  • Experience in a conference center, catering hall, or multi-space venue
  • Knowledge of BEOs, floor plans, and operational logistics
