Warranty Administrator – Join the Karl Malone Team!

We’re currently seeking a Warranty Administrator to join our Service Department and play a key role in ensuring warranty claims are processed accurately, efficiently, and on time .

Responsibilities:

• Process all warranty claims in accordance with manufacturer guidelines and dealership policies.
• Submit claims to manufacturers and track approvals, denials, and payments .
• Review repair orders for completeness, accuracy, and proper documentation .
• Communicate with service advisors, technicians, and management to resolve discrepancies.
• Maintain current knowledge of manufacturer warranty policies, factory recalls, and service contract requirements.
• File and maintain all warranty documentation and correspondence.
• Provide support for audits and warranty parts returns.
• Reconcile warranty receivables with accounting and ensure timely payment .
• Establish and maintain records of claims submitted, returned, or rejected, and follow up as needed.
• Build positive relationships with manufacturer representatives and warranty vendors.
• Provide weekly reports to the Service Manager on claim status and warranty receivables.

Qualifications

• Previous experience in automotive warranty processing or administration (1–2 years preferred ).
• Working knowledge of dealership DMS systems ( CDK experience a plus ).
• Strong attention to detail and excellent organizational skills.
• Ability to communicate effectively and work well in a team environment.
• General accounting knowledge preferred.
• Proficiency with Microsoft Excel, Outlook, and basic computer systems.
• Must be dependable, self-motivated, and capable of meeting deadlines.
• Valid driver’s license required.
